1. Scope
This Privacy Policy describes how Veritex LLC, a Virginia limited liability company doing business as Veritex Advisory, Veritex Business Formation, and Veritex Registered Agent Services ("Veritex"), collects, uses, discloses, and protects personal information through our website and services. Veritex LLC is the entity responsible for the personal information described in this policy. It applies to visitors, prospective clients, and clients.
2. Our approach
We collect only the information reasonably necessary to provide the services you request, or to meet a legal obligation. We do not sell personal information.
3. Information we collect
Information you provide
- Identity and contact information — name, email address, mailing address, telephone number
- Business information — entity name and type, business address, ownership and management details, state entity identifiers
- Responsible-party information required for certain filings, which for an EIN application may include a taxpayer identification number
- Content of communications you send us
Information collected automatically
- Device and usage information — IP address, browser type, pages viewed, referring page, timestamps
- Cookies and similar technologies (Section 8)
Information from third parties
- Confirmation of payment and limited transaction details from our payment processor. We do not collect or store full payment card numbers. Card data is transmitted directly to our payment processor.
- Publicly available business registry information
4. Information that becomes public
This distinction is important. Business filings submitted to the Commonwealth of Virginia and other authorities generally become part of the public record. Information appearing in a filing — including entity name, business address, registered agent, and in some cases officer, director, or member information — may be publicly accessible through government databases once filed.
Information you provide to Veritex that is not included in a public filing is retained privately and handled as described in this policy.
Where you purchase registered agent service or a business address service, one purpose of that service is to allow you to use a Veritex address in public filings rather than your own.
5. How we use information
- To provide, perform, and complete requested services, including preparing and submitting filings
- To process payments and administer subscriptions
- To communicate about orders, services, and account matters
- To receive and forward mail and legal process where you have purchased those services
- To maintain records required for legal, tax, and regulatory purposes
- To secure, administer, and improve the platform
- To comply with legal obligations and enforce our agreements
6. How we disclose information
We disclose personal information only as follows:
- Government authorities — where necessary to complete a filing you requested, or where required by law
- Service providers performing functions on our behalf, including payment processing, platform hosting, customer relationship management, transactional email delivery, and electronic signature. These providers may use personal information only to provide services to us.
- Professional advisors — legal, accounting, and similar advisors, under confidentiality obligations
- Legal and safety — in response to legal process; to establish or defend legal claims; to protect the rights, property, or safety of Veritex, our clients, or others; or to investigate suspected fraud
- Business transfer — in connection with a merger, acquisition, financing, or sale of assets, subject to comparable privacy protection
We do not sell personal information, and we do not disclose it for third-party marketing.
7. Registered agent and mail services
Where you have engaged Veritex as registered agent or for address or mailbox services, we receive correspondence and legal process directed to your business. We handle those items solely to provide the service — receiving, recording, notifying you, and forwarding or making items available. We do not use the contents for any other purpose.
8. Cookies and similar technologies
What we use today
Our website uses cookies and similar technologies for two purposes: keeping the site working and secure, and understanding how people use it. We do not currently run advertisements, retargeting campaigns, or behavioral tracking pixels, and we do not build profiles of you across other websites.
What may change
We expect to advertise our services through platforms such as Google, Meta, and LinkedIn. When we do, those platforms place cookies and pixels on our site that collect device identifiers, IP addresses, and browsing activity in order to show you Veritex advertisements elsewhere, measure how our campaigns perform, and reach people with similar interests.
We will update this policy before any advertising technology becomes active.
Your choices
Under the Virginia Consumer Data Protection Act and comparable laws in other states, you may opt out of having your personal data processed for targeted advertising.
While no advertising technology is active, there is nothing to opt out of. Once it is, you will be able to:
- Adjust your preferences through the cookie settings link in our website footer
- Use a browser-based opt-out signal such as Global Privacy Control, which we will honor
- Email us at info@veritexadvisory.com to request an opt-out directly
- Manage ad preferences with the advertising platforms themselves, through their own settings
Most browsers also let you control cookies directly. Disabling some cookies may limit how the site works.
9. Data retention
We retain personal information for as long as necessary to provide services, to maintain business and transaction records, and to satisfy legal, tax, and regulatory obligations. Retention periods vary by record type:

We may retain information longer where required by law, where necessary to establish or defend a legal claim, or where a record has already become part of a public filing. We may also retain de-identified or aggregated information that no longer identifies you.
Where we act as your registered agent, records relating to service of process are retained under the schedule above whether or not your service remains active.
10. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and reputable infrastructure providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your rights
Depending on your state of residence, you may have the right to access, correct, delete, or obtain a portable copy of your personal information, to opt out of certain processing, and to appeal a denied request.
To make a request, contact info@veritexadvisory.com. We will respond within the period required by applicable law and may need to verify your identity first.
Certain information cannot be deleted where we are required to retain it, including filing records, transaction records, and information that has already become part of a public record.
12. Children
Our services are directed to businesses and to adults. We do not knowingly collect personal information from anyone under 18, and will delete it if we learn we have.
13. Third-party links
Our website may link to third-party sites. We are not responsible for their privacy practices.
14. Changes
We may update this policy. We will post the updated version with a revised effective date and version number, and provide direct notice of material changes where required by law.
