Privacy Policy

Effective date: November 1, 2026

This Privacy Policy explains how Veritex LLC, doing business as Veritex Advisory ("Veritex," "we," "us," or "our"), collects, uses, and safeguards information when you visit veritexadvisory.com or purchase our business formation, registered agent, virtual address, compliance, or related services. Veritex Advisory provides business-support services and does not provide legal, tax, or financial advice.

1. Information We Collect

We collect the following categories of information:

  • Contact information — name, email address, mailing address, and phone number you provide through forms, intake flows, or when contacting support.
  • Business formation information — entity name, state of formation, registered agent details, member or director information, principal office address, share structure, and other details necessary to prepare and file your business documents.
  • Payment information — payment card and billing details are collected and processed by our payment processor, Stripe, Inc. Veritex does not store full card numbers, CVC codes, or bank credentials on our systems.
  • Account and order data — order identifiers, purchased services, subscription status, and communication history.
  • Technical data — IP address, browser type, device information, and basic usage data collected through standard server logs and essential cookies used to operate the site.

2. How We Use Information

We use information to:

  • Deliver the services you purchase, including preparing and filing formation documents, providing registered agent service, and handling compliance reminders.
  • Process payments and manage subscriptions through Stripe.
  • Manage customer relationships, support requests, and order communications through our CRM, HubSpot, Inc.
  • Send transactional emails (order confirmations, filing updates, renewal notices, compliance alerts).
  • Maintain the security and integrity of our platform and prevent fraud.
  • Comply with applicable legal, regulatory, and recordkeeping obligations.

3. Payment Processing

All payments are processed by Stripe. When you enter payment details on our checkout, that information is transmitted directly to Stripe under its own security and compliance program (including PCI-DSS). Veritex receives only limited transaction metadata — such as the last four digits of a card, the payment status, and Stripe identifiers — and never stores full payment credentials on our systems.

4. Service Providers We Share Information With

We share information only with vendors that help us operate the business, under contractual confidentiality and security obligations:

  • Stripe, Inc. — payment processing and subscription billing.
  • HubSpot, Inc. — customer relationship management, order records, and email communications.
  • Cloud hosting and infrastructure providers — secure hosting, database storage, and application delivery.
  • Government agencies — state Secretary of State / Corporation Commission and the IRS, when required to file your requested documents.

We do not sell your personal information, and we do not share it with third parties for their independent marketing purposes.

5. Cookies and Analytics

We use strictly necessary cookies to keep the site functional (for example, to maintain your checkout session). We may use limited first-party or provider-supplied analytics to understand aggregate site usage and improve the platform. We do not use cookies to build advertising profiles or to track you across unrelated websites.

6. Data Retention

We retain business formation records, order records, and related correspondence for as long as needed to provide services and to meet our legal, tax, and recordkeeping obligations. Registered agent and compliance service records are retained for the life of the engagement and for a reasonable period afterward as required by applicable law.

7. Security

We use administrative, technical, and physical safeguards designed to protect the information we hold, including encrypted transmission (TLS), access controls, and least-privilege database policies. No system is perfectly secure, and we cannot guarantee absolute security of information transmitted over the internet.

8. Your Choices

You may request access to, correction of, or deletion of personal information we hold about you, subject to our legal and recordkeeping obligations (for example, filings we are required to preserve). To make a request, email info@veritexadvisory.com.

9. Children's Privacy

Our services are directed to adults forming and operating businesses. We do not knowingly collect personal information from children under 13.

10. Governing Law

This Privacy Policy is governed by the laws of the Commonwealth of Virginia, without regard to conflict-of-laws principles.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, by additional notice.
